POLICY IN THE OFFICE (OSHPo)
LLC Berhad (“LLC”) and its subsidiaries (“Group”) are committed to ensure employees work in safe and healthy environment, thus achieving zero fatality.
To accomplish this policy, it is our duties to constantly strive the following: -
1.Commitment to SHE
To implement adequate prevention measure of work-related injury and ill health followed by remedial action to rectify the shortfalls towards continuous improvement.
2.Compliance to The Law
To implement adequate prevention measure of work-related injury and ill health followed by remedial action to rectify the shortfalls towards continuous improvement.
3.Risk Assessment
To identify hazards and control risks in the office.
4. Education and Communication
To conduct or disseminate awareness on the importance of occupation safety and health in the office.
The policy shall be revised according to the regulation and suitability for continuous improvement.
1.0 Individual Responsibility
a. To take reasonable care of the safety and health of one-self and others at office.
b. Immediately report safety and health accidents, near-misses and/or hazardous conditions to immediate superior for next course of action as appropriate.
c. Wear and use any PPE provided by Company to prevent risks to his/her safety and health.
d. Comply with the safe and health practice and procedures established by the Company.
2.0 Emergency Action Procedures
a. When there is a fire alarm at office, immediately left the building by following the respective floor of fire evacuation plan and go to the assembly point indicated.
b. All fires must be reported to the head of department without delay for next course of action.
3.0 First Aid and Incident
a. Appropriate first aid should be given using the first aid box until the first aider arrives or to send victim to the nearest clinic. Do not left the victim on his/her own until the qualified staff takes over.
b. Immediately report all occurring of accidents (injury, damage or death) to head of department for next course of action.
4.0 Hazards and Risk Assessment Procedure
a. The 5 major hazard to be controlled at office which may impact the safety and health of employees are:
i) Physical (electrical, mechanical, temperature, noise, lighting, etc)
ii) Chemical (solvents, flammables, mists & dusts, poison, etc)
iii) Biological (insects, plants, fungus/moulds, pathogens, etc)
iv) Ergonomic (repetition awkward movements, poor posture, manual handling, etc)
v)Psychosocial (stress, bullying, sexual harassment, etc)
b. The hazard identification, risk assessment and risk control (HIRARC) is to provide appropriate control measures for minimising the risk as below:
i) Elimination – can the process, use of the substance or the equipment be stopped?
ii) Substitution – substitute with a safer alternative.
iii) Isolation – Isolating the staff from the hazardous equipment, substances or process.
iv) Engineering – Exhaust ventilation due to space enclosure.
v) Administrative – Signage, SOP etc
vi) PPE
5.0 Safety in Offices and Pantry
a. Walking surface must be clear and not slippery and/or free from any materials/obstruction.
b. Carpets and mats should be secured to prevent slipping and free of dusts.
6.0 Cabinets, Shelves, Office Equipment
a. All filling cabinets should be secured to the wall to prevent tipping.
b. Heavy items should be kept in the lower shelves. If heavy parcels and equipment are stalked together should not above the shoulder height.
c. Paper cutters and equipment that are dangerous should be guarded (if any) and used carefully.
d. Appropriate and safe portable ladders should be used for the height to be worked on and secured at a suitable place when not in use.
e. Trolleys should not be loaded above the eye level which obstructing the vision.
7.0 Manual Lifting
a. Seek another staff help to move office heavy object/machinery which is too heavy for one person to prevent possible hazard.
b. Step-by-step on how to lift a heavy object safely.
i) Face the object. Place one foot behind the object and other foot beside it.
ii) Bend your knees but keep your back straight. Grip the object firmly with both hands.
iii) Bring the object close to your body. Keep your body weight directly over your feet.
iv) Lift with your legs
v) Do the same process in reverse when you set the object down
vi) Avoid any twisting motions
8.0 Lighting
a. Ensure enough daylight reaches working desk without being shadowed by obstacles
b. Light colours are used for walls
c. General lighting is adequate to the type of work done
d. Spot lamps are used to supplement general lighting, especially for precision work
e. All lamps and fittings are cleaned and changed regulary.
9.0 Office, Computer
a. Safety ergonomic practices when working in office or with computer:
i) Feet- ensure your feet rest solidly and comfortably on the floor with adjustable chair.
ii) Knees & Legs- ensure sufficient space for knees and legs and vary your leg posture throughout the day.
iii) Head- position your head so that not forward of the shoulders which is less tiring.
iv) Shoulders & Elbows- ensure your shoulders and elbows rest comfortably on the desk with adjustable chair. frequently ensure your wrists are straight by adjusting the keyboard slope.
v) Eyes- frequently practicing 20-20-20 rule for eyes breaks to prevent tiredness and irritation.
vi) Monitor- adjust the monitor so that it parallel to your face and eyes.
10.0 Hand Hygiene
a. Handwashing is one of the effective ways to protect yourself and colleagues from getting sick because it prevent the spread of germs.
b. Frequently and properly washing hands with soap and water or use at least 60% alcohol-based hand sanitizer can reduce the number of germs on hands in many situations.
11.0 Electrical Safety
a. All fixed and portable electric tools/equipment/appliances must be properly grounded.
b. Exposed wiring and cords with frayed or deteriorated insulation must be repaired or replaced promptly.
c. The use of extension cords should be minimize to prevent overloading.
d. All locked-out and tagged-out procedures should be observed before inspection and maintenance.
12.0 Workshop Safety
a. Staff to strictly observe and familiar with the safe work practice requirement at all times to prevent potential hazards.
i) Workshop safety guidelines and procedures.
ii) Wear & use PPE as per requirement when on duty
iii) Safe work practice of an equipment.
iv) Emergency response/action
